PTA General Meeting Minutes, May 2014

Meeting: Lafayette PTA General Meeting
Date/Time: May 15, 2014, 7pm
Location: Lafayette Elementary Cafeteria
Proper notice was given to all members

Call to Order:
Sean Reynolds, PTA President, called the meeting to order at 7:10pm.
A quorum was present. The attendance sheet is attached.

Secretary’s Report:
Motion: Annie Higgins made a motion to accept the April meeting minutes. The motion was seconded. The motion was approved.

Treasurer Report:
Angela Corvino distributed the Treasurer’s Report. We are collecting yearbook money. There are some matching gifts coming in. The end of year is June 30, 2014 and Angela is also ending her 2-year term. She has enjoyed the Treasurer job. She is also moving to a new school, Fairmont Park Elementary. A review of the books was done last week and she thanked Olga Fisher and Paul Hagenson who helped do the review most recently. We will need to do another review in July and would like a couple of volunteers to help with that.

Vice President Report:
Katy Wallum reported that parent enrichment is very important to her. She hopes for better attendance next year. We had great topics this past year: December=Kids, Gadgets & the Brain; February=Amy Lang with Birds and the Bees; and March=Kim Estes with Savvy Parents, Safe Kids. Katy feels strongly about parent education and finds all these topics relevant to parents and families at our school. She also threw out ideas from teachers who suggested these topics: helping with organizational skills for kids, social interactions (how to help kids out), literacy night, highlight the new math curriculum, and/or talk about core curriculum.
Katy asked: Do parents tonight have any ideas? Ideas raised were: Allowances for kids, bring back Amy Lang, college savings programs, good to bring back good speakers next year.

Katy said we could have a 4th speaker next year. Someone suggested maybe combining with Schmitz Park. Maybe have FOOD at the programs?

Having more community events was also discussed this year. We do the back to school BBQ and maybe we could do one other food, community activity.

Katy talked about the Fairmont Park Elementary PTA seed money request. The PTA board discussed it and agreed/voted to give Fairmont $500.

Motion: Taeya Lauer made the motion to give $500 to Fairmont Park Elementary school’s PTA for the 2014-15 school year. The motion was seconded. The motion was approved.

Katy then asked for volunteers to work on the following committees next year: 
Legislative Chair, Safety Chair, and Playground Chair

Fundraising Report:
Sarah Dillard talked about the upcoming Spring Fling/Art Fair: on May 16th. There will be a real photo booth, spray tattoos, food (3 tix gets pizza, fruit, juice box). It’s $10 for 12 tix. Kids have to come with an adult/no drop-offs. There will be a cake walk so need cakes (delivered between 3-5pm on Friday). Joel is the DJ and Popcorns will perform at 6:30pm. There will also be a guitar session by our guitar teacher and some of his kids. There will be clay animation in one of the classrooms.

Sarah reported that the Walk-a-Thon chair for next year is moving (Olga Fisher) to California. So, we need a new chair. Sarah is willing to train and work with the new chair but would really like someone to step forward.

Nominating Committee Report:
The nominating committee has nominated the following candidates for the four (4) open PTA Board positions:

President: Katy Walum; Vice President: Rachel Hagenson; Treasurer: Paul Hagenson; Co-Secretary: Meg Jones.

Motion: Sarah Dillard made the motion to nominate the above list of nominees for the above-listed board positions. Any conflicts of interest would be addressed and safeguards put in place. The motion was seconded. The motion was approved.

Budget Report:
Taeya Lauer handed out copies of the 2014-2015 PTA budget. She thanked the members of the budget committee for their help. She estimated the income for next year at $107,150.00. Her figures show that attendees at the auction this year spent an average $90 per person. Our goal is to spend money we expect to spend next year so we want to try and spend $175,978.57 this year. She discussed many of the line items in the budget.

Motion: Olga Fisher made a motion to approve the 2014-2015 budget. The motion was seconded. The motion was approved.

President’s Report:
Sean Reynolds said the budget looks amazing and has blossomed. He encouraged parents to be active in Olympia. He touched on why the PTA does pay for some salaries, including the lunchroom supervisor and recess supervisors. This is something PTA feels shouldn’t be the responsibility of the teachers and taking away from their time in the classroom. Sean reported that Envisions is the math that was chosen. Board was asked to approve it and the school staff to vote on it on June 4th. This is a late decision/process so it means the school staff will not get resources before summer to start preparing for next year.
There are staff changes at Lafayette coming up. The enrollment changes are not firmed up until the end of the summer. It is, however, on projection to be around 550 at Lafayette. Someone asked why aren’t we fixing the capacity issue?

It was also raised that Schmitz Park and Lafayette are the only schools in the West Seattle area having “Pay for K”. Sarah Dillard would like to address this with the district/Olympia. In 3 years, the district has said Pay for K will be fully funded. Sarah will work on whether campaign should be individualized (send lots of letters). The message should be clear and positive.

Meeting adjourned at 8:30pm. Our next General PTA meeting will be in Fall, 2014.
